Got a letter from ZUS? Here's how to read it

ZUS (Zakład Ubezpieczeń Społecznych) is Poland's social insurance institution. If you're employed, self-employed, or registered for any kind of insurance in Poland, ZUS is the office that handles your pension, health insurance registration, sick pay and family benefits in the background — and it writes to people fairly often. Most ZUS letters are routine, not alarming, but they usually have a real deadline attached.

The most common types of ZUS letter

• Contribution / payment notices — sent mostly to the self-employed (JDG) and business owners, showing what you owe for a given month or flagging a missed payment.
• Sick pay (L4) decisions — ZUS pays sick leave itself after the first 33 days paid by your employer (14 days if you're over 50), so once your L4 runs long, letters about the amount or continuation of payment come from ZUS, not your employer.
• Insurance status confirmations — confirming you're correctly registered for health/social insurance, often needed when something (an NFZ check, a mortgage application) required proof.
• Requests for missing documents — ZUS asking you or your employer to send something that's missing from your file before it can process a claim (sick pay, benefit, pension).

What to check first

1. Look for a reference number (znak sprawy) and a stated deadline — most ZUS letters that require a response give you a specific number of days, printed in the letter itself.
2. Check your PUE ZUS account (Platforma Usług Elektronicznych ZUS) — many letters are also visible online, often faster than the post, and you can usually reply or upload documents there instead of by post.
3. If it's about money you owe and you think it's wrong, don't ignore it — contact ZUS (by phone, PUE, or in person) to clarify before any deadline passes, rather than after.
